Position Overview: Provides administrative and special project support to the BFA Photography & Video Department.

Work Schedule: Full -Time, M-F, 9-5, evening events and occasional

weekends required

Duties and Responsibilities:

Administrative Support

Assists in the daily operations of the department and provides support to the Chair, Curriculum Coordinator, and Coordinator of Special Programs and Projects through the following responsibilities:

  • Attend to the department email account and responds or redirects as needed
  • Research, collect and maintain department master mailing lists for faculty, students, and professional contacts
  • Proofread, draft, edit, and assist with departmental mailings and correspondence
  • Research students, alumni, and faculty to promote community accomplishments
  • Research scholarships, grants, competitions, and exhibition opportunities
  • Create the department’s monthly newsletter and weekly student opportunities email
  • Maintain and organize the shared drive to gather newsletter content
  • Create and update the artist database for the Visual Literacy course
  • Attend and take notes for departmental meetings as needed
  • Assist with curricular projects as needed

Department Events & Programming

Supports the Chair, Curriculum Coordinator, and Coordinator of Special Programs and Projects to ensure the success of events and programming through the preparation of necessary aspects and materials through the following responsibilities:

  • Assist with planning and coordination, including but not limited to seasonal programming, academic events, and fairs
  • Design promotional materials, such as postcards, posters, email announcements, and social media content
  • Design event materials, which can include digital and print signage, presentations, and videos
  • Print and distribute posters around campus for department events
  • Serve as a department representative as needed at events

Department Exhibitions

Assists the Curriculum Coordinator and Coordinator of Special Programs and Projects with exhibition-related responsibilities through the following responsibilities:

  • Maintain production schedules for annual exhibitions
  • Liaison with artists to gather exhibition materials
  • Design printed materials including signage, exhibition files, mock-ups, labels, and checklists
  • Design promotional materials such as postcards, posters, email announcements, and social media content

Marketing & Promotion

Assists the Coordinator of Special Programs and Projects with the development, implementation, and management of content for social media and the department website through the following responsibilities:

  • Maintain campaign schedules
  • Design promotional materials for events, programs, and student engagement campaigns
  • Generate, edit, publish and share engaging social media content daily
  • Assist with proofreading, fact-checking, and image resizing
  • Ensure that website content is up-to-date and relevant


  • BFA Degree in Art and Design or related experience preferred
  • 1-2 years of administrative experience required
  • Working knowledge of MS Office, Google Suite, Photoshop, and InDesign
  • Digital fluency with Apple Products
  • Ability to handle multiple projects simultaneously with quick turnaround
  • Strong organizational skills and detail-oriented
  • Ability to quickly learn and adapt new processes
  • Skilled in layout and graphic design
  • Experience with social media and email management and marketing platforms
  • Knowledge of photography and video
